How we handle the figures you send
This notice explains how Switchmatrixbase handles personal data when you write to us, sit in a briefing, or send a sales extract that contains names.
Data controller
Switchmatrixbase is the controller. The office is at Level 7, 58 Chavchavadze Avenue, Tbilisi 0179. You may write to hello@switchmatrixbase.digital or telephone +995 32 555 4270. We handle personal data in line with the Law of Georgia on Personal Data Protection.
What we collect
From the contact form and email: name, email address, the reporting you have in mind, the period of figures you mention, and the message you write. We do not ask for passwords, identity numbers, or card details on the form.
From an engagement: the names and emails of the people who attend sittings, billing details, and the sales extract. Extracts often contain customer names, account codes, and sometimes the names of sales staff. We treat those fields as personal data when they identify a person.
From the site: a cookie preference if you choose Accept or Reject, stored under a brand-prefixed key. More detail sits on the cookies page.
Why we use it
We reply to enquiries, prepare and deliver the agreed reporting, invoice, and keep a project file so we can revise a pack and answer later questions about the same engagement. We do not sell lists. We do not use your extract to market other companies.
Retention
Enquiry messages that do not become work are kept for twenty-four months, then deleted. Project files, including extracts and delivered packs, are kept for five years after the last sitting unless you ask us in writing to destroy the extract sooner. Invoices follow Georgian accounting retention rules. Cookie preference storage lasts up to twelve months on your device.
Your rights
You may ask what personal data we hold, ask for a copy, ask us to correct it, and, where the law allows, ask us to delete it or restrict its use. You may object to use that rests on our legitimate interest in running the practice. These rights may yield where we must keep a record for accounting or to establish a legal claim.
To exercise a right, write to hello@switchmatrixbase.digital. We may need to confirm it is you. You may also complain to the Personal Data Protection Service of Georgia.
International transfers
Email and file transfer may pass through processors outside Georgia. When that happens, we use providers who offer an appropriate safeguard, and we keep the extract off public links. We will not place a client ledger in an open folder.
Children
Our work is with adult commercial contacts. We do not knowingly collect data about children.
Updates
We will revise this notice when our practice changes. The date that matters for an engagement is the notice in force when you send the extract.
